SkipM8

Stop keying skip hire invoices into Xero twice

Typing every invoice into your accounts a second time takes time and lets mistakes in. Connect SkipM8 to your Xero organisation and the invoices you raise for skip hire, grab hire and waste work go into your books without anyone re-entering them.

Payments, credit notes and refunds you record in SkipM8 follow their invoice into Xero. When a payment is entered in Xero, it comes back into SkipM8, so the office knows who's paid without switching screens.

Every synced invoice carries its Xero number in SkipM8, and you can search by it, so you'll find the same invoice in both places in seconds.

Your books match what you billed

Each record goes across once, using the sales accounts, tax codes and bank account you choose.

  • Trace any Xero invoice line back to the booking and job it bills.
  • Keep your customer's purchase order number on the invoice line.
  • Skip setting up contacts by hand: customers are matched to a Xero contact by name, or added the first time you invoice them.
  • See payments you record land in the Xero bank account you've mapped.
  • Have credit notes set against the invoice they credit.
  • Keep revenue and VAT right, with refunds booked against their credit note.

Nothing reaches Xero until you're ready

In SkipM8, issuing an invoice, emailing it to your customer and syncing it to Xero are three separate actions. You get to check an invoice before it reaches your customer or your accounts, and nothing goes to Xero until you choose.

Rather not click through each one? Switch on automatic issuing in your organisation settings, then automatic sending and syncing alongside it. Or tick several invoices on the invoice list and issue, email or sync them in one go.

A payment, credit note or refund recorded against an invoice that isn't in Xero yet waits for it, then goes across as soon as the invoice is synced. Xero never receives a payment with no invoice to settle.

Not ready to connect? Export your invoices as a CSV in Xero's import layout instead. Each invoice is exported once, and one that's already synced is never exported, so nothing lands in your accounts twice.

The accounting integration is included on Pro and Enterprise, and on Grow with the accounting add-on for a monthly fee.

See Xero payments in SkipM8 without asking your bookkeeper

When a payment against a SkipM8 invoice is entered in Xero, Xero tells SkipM8 and the payment is recorded on the invoice. If it clears the balance, the invoice is marked as paid.

Edits to an invoice's lines or contact, or voiding it in Xero, aren't copied back. SkipM8 stays the record of what you billed, and Xero the record of the money received against it.

How to connect Xero

Before an invoice is synced, SkipM8 checks every line has a sales account and a tax code, and tells you what is missing.

  1. Open Integrations in SkipM8 and choose Connect to Xero.
  2. Sign in to Xero and approve the connection to your organisation.
  3. Open Configure accounting and pick the Xero sales accounts for hire, service and surcharge lines.
  4. Match each of your tax rates to a Xero tax code, and your bank account to a Xero bank account.
  5. Sync an issued invoice from its page, or switch on automatic issuing and syncing.

Common questions

What happens if Xero rejects an invoice?

The invoice is marked as failed with Xero's reason, and invoices issued after it wait so they reach Xero in order. Fix the problem and retry, or take the invoice out of the queue if you will enter it in Xero yourself. Issuing and emailing carry on as normal.

In what order do invoices reach Xero?

One at a time, oldest issued first, whatever order you synced them in. If Xero asks SkipM8 to slow down, the rest wait and then carry on.

Can I connect Xero and another accounting package at the same time?

No. An organisation connects one accounting platform, so every invoice goes to the same place.

Can I void a payment that has already gone to Xero?

Not from SkipM8. Once a payment is in Xero, SkipM8 cannot take it back out, so it tells you to reverse it in Xero instead.
